Booking

To make a booking with Pepperwood Pods, you must be at least 18 years of age.

All bookings should be made online. By completing a booking, you confirm that all information provided is accurate. Pepperwood Pods cannot accept responsibility for errors made during the booking or payment process, so please check your confirmation carefully once received.

Once your booking is confirmed, you will receive an automated confirmation email and payment summary. At this point, a contract exists between you and Pepperwood Pods under these Terms and Conditions.

Arrival and Departure

Your pod will be available from 4:00pm on your arrival date. Check-in is fully contactless, and arrival details will be sent to you before your stay.

Guests must vacate their pod by 10:00am on the day of departure.

Cancellations and Changes

If you need to cancel your booking, please notify us as soon as possible and confirm the cancellation in writing by emailing enquiries@pepperwoodpods.co.uk. A booking is only considered cancelled once written confirmation has been provided by us.

If cancellation is made less than 30 days before arrival, the full balance of your stay will remain payable, including any third-party costs associated with pre-booked extras that cannot be recovered.

We strongly recommend that all guests take out suitable UK travel insurance.

In the unlikely event that Pepperwood Pods needs to cancel your booking, all monies paid will be refunded within 14 days. Refunds can only be made to the original payment method.

Closures

Occasionally circumstances beyond our control may require us to close the site. In cases of extreme weather or other unforeseen events, Pepperwood Pods reserves the right to close temporarily.

Where possible, we will offer an alternative date or a full refund.

Number of Guests

The maximum occupancy of each pod is four guests.

Only guests named on the booking may stay in the accommodation.

Small groups and single-sex bookings are welcome, provided our low noise policy is respected. Stag and hen parties are not permitted.

Dogs

Well-behaved dogs are welcome at Pepperwood Pods.

A £20 cleaning fee applies per stay for guests bringing dogs.

Weather

Unfortunately, weather conditions are beyond our control. Refunds cannot be offered if you choose to cancel or shorten your stay due to weather conditions.

Force Majeure

Pepperwood Pods accepts no liability for events beyond our reasonable control, including but not limited to floods, severe weather, natural disasters, pandemics, terrorism, fire, or interruptions to utility services.

Any refunds issued in these circumstances will be entirely at the discretion of Pepperwood Pods.

Car Parking

Free parking is available adjacent to each pod.

Vehicles and their contents are left entirely at the owner’s risk. Pepperwood Pods accepts no responsibility for loss, theft or damage.

Guest Behaviour

Guests are expected to behave respectfully and responsibly throughout their stay.

Please respect other guests, neighbouring properties, staff and the accommodation itself. Any behaviour that disrupts the enjoyment or safety of others may result in guests being asked to leave the site.

Low Noise Policy

Pepperwood Pods is designed as a peaceful countryside retreat.

Guests are asked to keep noise to a minimum at all times, particularly after 10:00pm. Whilst small groups are welcome, we are not a party site.

If you are enjoying the hot tub, fire pit or outdoor seating area in the evening, please be mindful that sound carries easily and keep voices low.

Guests causing a nuisance may be asked to leave immediately. In such cases, no refunds or compensation will be provided.

Safety

Your safety is extremely important to us. By staying at Pepperwood Pods, you agree to follow the guidance below.

Fire Safety

Fire pits may be used for campfires and barbecuing but must never be left unattended.

Fire pits must remain in their designated location and be fully extinguished after use.

Open flames, candles and outdoor cooking equipment are strictly prohibited inside the pods.

Only the firewood supplied by Pepperwood Pods should be used.

The use of fire pits and wood-fired hot tubs is entirely at the guest’s own risk.

Outdoor Area Safety

Please take care when moving around outdoor areas, particularly in poor weather or after dark.

Guests must not climb onto the pods at any time.

Security and Locking

Please ensure your pod is locked whenever it is unattended.

You may use the key safe provided during your stay. Please do not alter the access code.

Children’s Safety

Children must be supervised at all times, especially around hot tubs, fire pits and other outdoor facilities.

Smoking

Smoking and vaping are strictly prohibited inside all pods.

Smoking outdoors is permitted, but all cigarette ends and related waste must be disposed of responsibly.

Hot Tubs

Suitable swimwear must be worn at all times when using the hot tub.

Hot tubs are drained, cleaned and refilled between guest stays, or weekly for longer bookings.

Housekeeping, Maintenance and Damages

Please leave your pod in a clean and tidy condition upon departure.

The sink, fridge, oven, BBQ and grill should be left clean and emptied before checkout.

Guests may be charged for items removed from the accommodation or for damage caused during their stay.

We understand that accidents happen and generally allow for reasonable wear and tear. However, where damage is directly attributable to guests, Pepperwood Pods reserves the right to recover repair or replacement costs.

Personal Property

Pepperwood Pods accepts no responsibility for loss or damage to personal belongings, vehicles or their contents.

Guests are advised to ensure they have adequate insurance cover for personal possessions.

Indemnification

Guests agree to indemnify and hold Pepperwood Pods Limited harmless against claims, damages, expenses, injuries or liabilities arising from their stay, except where caused directly by the negligence or intentional misconduct of Pepperwood Pods.

Amendments

Pepperwood Pods Limited reserves the right to amend or update these Terms and Conditions at any time without prior notice.
